Terms and Conditions

In this document:

  • “WGV” refers to WeGuideVienna, including its employees, duly appointed agents, and representatives (also referred to as “We” or “Us”);
  • “Tour” means any paid guided tour or visit organized by WGV;
  • “Guide” refers to the person(s) leading a Tour;
  • “Activity” encompasses any physical activity (such as walking or cycling) required to complete a Tour;
  • “Scheduled Tour Date” means the date on which a Tour is scheduled to occur;
  • “You” refers to any person participating, or intending to participate, in a Tour (also referred to as “Your”);
  • “Medical Issue” includes any medical condition, illness, disorder, or disability that may affect Your ability to complete the Activity or could be aggravated during the Activity;
  • “Terms” refers to the terms and conditions outlined in this document.

By participating in a WGV Tour, You agree to be bound by these Terms.

1. Physical Condition of Participants

A reasonable level of fitness is required to participate in and complete the Tour without causing delays for the group. It is Your responsibility to ensure that You meet the fitness requirements of the Tour. If in doubt, please contact Us to discuss.

At the time of booking, You confirm that:

  1. You are physically capable of undertaking all aspects of the Tour, considering its challenges and purposes;
  2. You are in good health and unaware of any reason why You may experience illness or injury during or as a result of the Activity; 

If You cannot make these confirmations or have (or suspect You may have) a Medical Issue, You must contact Us before booking so that We can assess Your suitability. You must also inform the Guide before the Tour begins of any Medical Issue that has arisen since booking.

2. Age Limits

There are no upper age limits for participating in Tours, provided You meet the physical requirements. Participants under 18 traveling without supervision must present written permission from their legal guardian to join the Tour.

3. Exclusion from Participation

3.1 After Booking a Tour

If information provided during booking is found to be materially incorrect or incomplete, We reserve the right to cancel Your booking. In such cases, We are not responsible for costs or expenses incurred by You in preparing for the Tour.

3.2 On the Day of the Tour

The Guide may exclude or remove You from the Tour at any time if, at their sole discretion:

  • You fail to meet the physical requirements outlined in Section 1;
  • Your participation endangers Yourself, others, or the Guide, or disrupts the normal operation of the Tour;
  • You disregard the Guide’s instructions;
  • You are under the influence of alcohol or drugs; or
  • You engage in rude or abusive behavior toward the Guide, other participants, or members of the public.

The Guide’s decision in such matters is final.

3.3 No Refunds

No refunds or compensation will be issued if You are excluded from the Tour under Sections 3.1 or 3.2 or if You leave a Tour early for any reason.

4. Lateness

You are responsible for arriving at the meeting point on time and on the correct date, as stated in Your booking confirmation. Tour start times are non-negotiable, and delays caused by lateness will not be accommodated. If You are late, the Tour will proceed without You, and Your booking will be forfeited without refund. We recommend arriving at least 10 minutes before the scheduled start time. Meeting point details are available on our website (https://weguidevienna.com).

5. Insurance and Liability

You acknowledge that:

  • WGV endeavors to ensure safe activities but that Tours may involve physical strain and inherent risks, including potential injury or property damage; and
  • Participation in a Tour is at Your own risk.

Adequate and appropriate insurance is essential, covering activities such as hiking, walking, and kayaking. Insurance should also include medical expenses, evacuation, and repatriation, as well as cancellation coverage. WGV is not liable for:

  1. Illness, injury, or death during a Tour;
  2. Loss, theft, or damage to personal property;
  3. Your failure to secure adequate insurance;
  4. Your negligence or fault; or
  5. Events beyond our reasonable control (see Section 9.3).

All participants are required to adhere to safety instructions provided by the Guide. Ignoring this advice is done at Your own risk.

6. Changes to Activities or Itinerary

While We strive to adhere to the planned itinerary, changes may be required due to circumstances beyond our control, such as adverse weather, force majeure, or operational restrictions. If changes are necessary, We will provide a revised itinerary that is as equivalent as possible. No refunds or compensation will be offered for amendments to or shortening of Tours.

7. Transportation

Unless expressly confirmed by WGV during booking, transportation to and from the Tour start point is Your responsibility. WGV is not liable for any loss, damage, or injury related to Your transportation arrangements.

8. Bookings

Bookings are confirmed only upon receipt of full payment. By booking, You acknowledge that You have read and agree to these Terms. WGV is not responsible for incidental expenses incurred in preparation for the Tour, such as visa costs or travel expenses.

9. Cancellation Policy

9.1 By WGV

We may cancel a Tour due to severe weather, Guide illness, or insufficient bookings. In such cases, You will receive a full refund or the option to reschedule.

9.2 By You

Standard Policy:

  • 100% refund for cancellations at least 4 weeks before the Scheduled Tour Date.
  • 50% refund for cancellations 2–4 weeks before the Scheduled Tour Date.
  • No refund for cancellations less than 2 weeks before the Scheduled Tour Date.

All cancellations must be submitted in writing via email.

9.3 Force Majeure

“Force majeure” includes events beyond our reasonable control, such as natural disasters, pandemics, strikes, or acts of war. In such cases, cancellations are non-refundable.

10. Transfers and Name Changes

If You cannot attend, You may transfer Your place to another person by notifying Us in writing at least 24 hours before the Tour. The new participant must read and agree to these Terms.

11. Use of Images

WGV may use photos or videos taken during the Tour for marketing purposes. If You prefer not to be included, please inform the Guide before the Tour begins.
